Setting up archiving using policies and configuration settings
You can use configuration settings or policy settings, or a combination of both to set up archiving for IBM® Lotus® iNotes™. You can determine how and where the user can archive, and whether Archive preferences are available to users in the Lotus iNotes client.

Note The NOTES.INI setting iNotes_WA_DisplayArchiveList is no longer required. This setting was used when more than one archive policy was available for a user.

Configuring archiving for all users on a server

To set up server or local archiving for all users on the server, use the following settings in the mail server's Configuration Settings document under Other Settings:
Setting Description
Archiving on serverEnable (default) to allow users to create archives of their mail files on the server.
Local ArchivingEnable to allow users to archive locally to their own system.

Configuring archiving on a individual basis using Mail policy settings

Another way to configure archiving is to apply a policy to individuals by using Mail policy settings. These policy settings take precedence over server-wide Configuration settings. To configure server or local archiving using policies, use the following Mail policy settings on the Lotus iNotes - Configuration tab:
Setting Description
Allow archiving on the serverEnable this setting to allow archiving on the server for an individual. If this setting is not enabled, then the associated user preference does not display. If neither archiving setting is enabled, then the archiving preference pane does not display.

Note Using this policy setting overrides the server configuration setting.

Allow local archivingEnable this setting to allow archiving locally for an individual. If this setting is not enabled, then the associated user preference does not display. If neither archiving setting is enabled, then the archiving preference pane does not display.

Note Using this policy setting overrides the server configuration setting.


Using Archive policy settings

You can also use Archive policy settings to prohibit archiving entirely, or to allow archiving based on criteria that you define, but prohibit users from creating their own archiving criteria. The following Archive policy settings are on the Basics tab:
Setting Description
Prohibit archivingEnable this setting to disable all archiving functions. Enabling this setting removes the Archive preferences pane and the Archive section in the navigator pane of the Mail Inbox.

Note This setting takes precedence over both the Configuration Settings document settings and Mail policy document settings.

Prohibit private archiving criteriaEnable this setting to prevent users from creating their own archive criteria. Users can open their archives, but will see archive destinations as defined by the assigned archive policy.

Enabling this setting disables Archive preferences.


Enabling action menus in the mail archive

For server-based archiving, use the NOTES.INI setting iNotes_WA_EnableActionsInArchive=1 to enable action menus from the Mail archive. Using this setting enables the action menus Reply, Reply to All and Forward.
